Converting a Data File

Available in eForms Basic, eForms Standard and eForms Enterprise only

From the Home Screen use: 1. Data File (database) > convert prev. year data file
From the Menu use: File > Convert a 2024 data file

When you open a “T24N” eForms data file you will be asked if you wish to convert the data file into the 2025 eForms data file format. Doing so will create a “T25N” data file with the same name and content as the “T24N” data file, but will not modify the previous year’s data file in any way.

Source Folder

Location of the data file to be converted, if you are unsure of its location you can either use the Browse button or open the 2024 eForms and use its Setup > File Locations menu to display the data file location. Once the source has been specified, all 2024 data files in the source folder will be displayed in the Select which file(s) to convert section. Any or all data files may be selected for conversion. Data in the source data file(s) will be copied into a new data file in the 2025 format; no changes will be made to the 2024 data file(s).

Destination Folder

Location of the converted data file. The conversion process will save the original data file into the 2025 format and save it to this folder.

Set the destination folder to be the source folder

Checking this box will force eForms to use the Source Folder as the Destination Folder. 2024 data files will not be overwritten; a new data file in the 2025 format will be created from the 2024 data file. data files for multiple years can safely coexist in a single folder.

Select Data file(s) to be Converted

Select the file(s) you wish to convert by checking the box beside the data file name. eForms will create a new file with the same name but with a “T25N” extension in the destination folder. Only the selected file(s) will be converted when you click the Convert button.

Initialize fields (zero amounts, remove “Amended” etc.)

You can choose to set all dollar values to zero or reset all “Amended” or “Cancelled” satus indicators to “Original” by checking the boxes in this section; data for any unchecked element will be brought forward into the 2025 data file. Check in the appropriate box(es) to clear the CPP exemption fields, the EI exempt fields or initialize the partnership forms.

• Clear ‘CPP Exempt’ boxes - Removes the ‘CPP Exempt’ flag from all slips, making them non-exempt
• Clear ‘EI Exempt’ boxes - Removes the ‘EI Exempt’ flag from all slips, making them non-exempt
• Clear ‘Do not adjust CPP’ boxes - Removes the ‘Do not adjust CPP’ flag from all slips, allowing them to be adjusted
• Clear ‘Do not adjust EI’ boxes - Removes the ‘Do not adjust EI’ flag from all slips, allowing them to be adjusted
• Roll forward prior year UCC and capital account amounts on federal and Quebec partnership returns (Standard and Enterprise) - Copies contents of federal and Quebec partnership into the 2025 data file

Retain company filing status from last year

Imports the company filing status information (Entered, Filed, etc.) for all returns

Special Instructions for eForms Free and eForms Lite

Convert a Free or Lite Data File

Both eForms Free and eForms Lite are limited to using a single data file, which will always have the name LITE.T##N; with ”##” indicating the two digit tax year to which the data file applies.

To roll forward (convert) a LITE.T24N data file into a LITE.T25N data file, use the Open Data File option of the File menu to browse to the location of the LITE.T24N data file to convert it into a LITE.T25N data file and open it. The Data File Conversion window will open to complete the conversion.

To determine the location of your 2024 data file, open eForms 2024 and use the File Locations option of the Setup menu.

Convert a Basic, Standard or Enterprise Data File

To convert 2024 data files after downgrading from eForms Basic, eForms Standard or eForms Enterprise to eForms Free or eForms Lite, you will need to do the following:

• Make a copy of your existing eForms Basic, eForms Standard or eForms Enterprise .T24N data file
• Rename this copy to LITE.T24N
• Open LITE.T24N with eForms 2024, and do the following:
  • Delete all companies except:
    • The five that you’ll be working with in eForms Lite; or,
    • The one that you’ll be working with in eForms Free
  • Delete all return types except:
    • T4, T4A, & T5
    • Relevé 1 & Relevé 3
  • Delete all slips except:
    • The twenty-five of each return type that you’ll be working with in eForms Lite; or,
    • The ten of each return type that you’ll be working with in eForms Free
  • Follow the conversion instructions above to roll LITE.T24N forward into LITE.T25N
